Can I use my own numbering system for invoices?
You can change the numbers without problems. When creating your next invoice, Momenteo will search for the highest number +1. To make sure you number system is compliant, read this.
How can I show the dates of each item to be indicated on the invoice?
Simply select the "Show Item’s date" on each line of the invoice when you are at the "Design" step. It is located at the top left corner of the document.
Can I include expenses and travel expenses on an invoice?
Yes. When you click on a job in "preparation" step of creating an invoice, you will see a window on the left that lets you choose which items you want to include or not on the tab.
Can I request a deposit on an invoice?
A déposit is a sum of money paid before work begins. It is normally used to confirm the commitment between both parties to the project. This feature is only available with a premium plan.
In Step 1 "Preparation," you can enable the "Request a deposit" feature (button at the bottom left corner).
The "Request a deposit" section will then appear, where you can apply a percentage or a value. Click Save invoice. In Step 2 "Design," you will get a preview of the items in your invoice. The deposit information is displayed in the Payment section.
In Step 3 "Sending," you can "Send invoice" to your client.
In Step 4 "Follow-up," you can view the invoice status.If you received payment by check, you can manually add a payment (the button at the top right corner) to your invoice. Once the deposit payment is received, the status will change to "Partial Payment."
Can I offer multiple payment options?
Yes, Momenteo offers the Payment Schedule feature. Offering multiple payment options, such as installment payments, is beneficial for clients because it allows them to better manage their budget. This can help you stand out from the competition and attract new customers. This feature is only available with the PLUS et EXPLORE premium plans.
Note: This method generates invoices according to the dates set in the payment schedule.
Online payments will not be processed automatically. Clients will receive their invoices as usual and can make payments using their regular payment method.
In Step 1 "Preparation," you can enable the "Payment Schedule" feature (bottom left button) for your entire invoice.
The "Payment Schedule" section will then show up, where you can choose the "Quantity" (maximum 5 payments) and "Frequency" (Daily, Weekly, Bi-weekly, Monthly, Quarterly) you wish to offer.
In Step 2, "Design," you will see a preview of the Invoicing Items in your invoice. The information for Multiple Payments will be displayed (Payment, Payment Due Date, Subtotal, Taxes, Total Amount, Terms, and Notes). In Step 3, "Send," you can "Send to Customer" the invoice.
In Step 4, "Follow-up," you can view the invoice status in the "Communication History."
- If you received payment by check, you can manually add a payment (button in the top right corner) to your invoice. Once the deposit payment is received, the status will change to "Partial Payment."
Regardless of whether the payment is received online or offline, the payment status will remain "Partial Payment" until payment for the final installment is received.
How do late fees work?
Activate them on the invoice and the follow-up will be done automatically. You choose the percentage that you want to apply, as well as the frequency at which the percentage is accumulated. You can change your payment period on the invoice or in your settings in Invoices tab by selecting "Accounting Informations".
How do I change the default text items?
In your settings, click on "Invoices" and then "Text templates". There you go!
Why are my text templates not added to my invoices?
For a template to be used, it must be used by default. Go to your Settings, then the Invoices tab and "Text Templates". You will then be able to choose which text template will be added automatically. Note that it will always be possible to also edit your text when creating the invoice.
How do I proceed if I work flat-rate?
Enter "1" as the quantity, create a billing item that describes the work done and enter the lump sum on the "rate" line.
